 Dedicated Client Management

Dedicated Client Project Management & Business Continuity Model

A Tested, Structured and Resilient Approach to Client Management.

Our methodology is designed not only to complete the assigned accounting work efficiently, but also to ensure continuity, accountability, and uninterrupted service delivery.

We do not depend on a single individual. Instead, we establish a multi-level client support structure so that backup resources are always trained and ready.

Dedicated Accountant → Backup Accountant → Junior Accountants → Team Leader → Accounts Manager

I. A Multi-Level Client Support Structure

Every client engagement is supported by five dedicated roles, so continuity never depends on a single employee.

Dedicated Primary Accountant

1. Dedicated Primary Accountant

Based on the nature, complexity and estimated workload of each client engagement, we determine the required manpower and allocate a Dedicated Accountant with the appropriate level of experience.

The resource allocation is based on factors such as:

  • Estimated hours required
  • Transaction volumes
  • Number of accounting systems and software platforms
  • Complexity of accounting processes
  • Frequency of bookkeeping
  • Reconciliation requirements
  • Inventory and job-costing requirements
  • Reporting and MIS requirements
  • Client-specific SOPs and workflows
  • Required turnaround times and service-level commitments

The Dedicated Accountant becomes the primary resource responsible for the day-to-day execution of the assigned activities.

2. Dedicated Backup Accountant

To minimise dependency on a single resource, we additionally identify and train a Backup / Replacement Accountant for each client.

The backup resource is trained on the client's:

  • Accounting procedures
  • Software environment
  • Chart of Accounts
  • Document flow
  • Transaction-processing methodology
  • Reconciliation procedures
  • Client-specific SOPs
  • Reporting requirements
  • Month-end procedures
  • Communication and escalation protocols

This ensures that the client does not experience disruption in service delivery due to planned leave, illness, employee turnover or any other unforeseen circumstance.

Two Trained Junior Accountants

3. Two Trained Junior Accountants

In addition to the Dedicated Accountant and Backup Accountant, we train two Junior Accountants on the client's documentation, workflow and operating procedures.

Their role provides an additional layer of operational resilience and enables us to:

  • Handle fluctuations in workload
  • Support transaction processing during peak periods
  • Assist with document preparation and classification
  • Support reconciliations and routine accounting activities
  • Provide additional backup when required
  • Develop a wider pool of client-trained resources

This creates a broader knowledge base around every client engagement rather than concentrating knowledge in one employee.

4. Team Leader / Supervisor

Each client is also assigned a Team Leader / Supervisor who provides operational oversight.

The Team Leader / Supervisor is responsible for monitoring:

  • Work allocation
  • Daily progress
  • Task completion
  • Quality of processing
  • SOP compliance
  • Pending documents
  • Unresolved queries
  • Reconciliation status
  • Turnaround times
  • Employee productivity
  • Escalation of operational issues

The Team Leader / Supervisor acts as an important bridge between the accounting team and management.

5. Accounts Manager

At the management level, an Accounts Manager is assigned to the client engagement.

The Accounts Manager provides higher-level supervision and ensures that the engagement remains aligned with:

  • Client expectations
  • Agreed scope of services
  • Service-level requirements
  • Quality standards
  • Accounting procedures
  • Reporting timelines
  • Resource requirements
  • Risk management
  • Escalation procedures
  • Continuous process improvement

This provides the client with a clear management-level point of accountability.

II. Our Six-Person Client Knowledge Structure

Under this model, six members of our organisation are familiar with the client's engagement at different levels.

Resource Primary Responsibility
Dedicated Accountant Day-to-day accounting execution
Backup Accountant Immediate operational continuity
Junior Accountant 1 Supporting processing and workflow
Junior Accountant 2 Additional backup and operational support
Team Leader / Supervisor Daily supervision and quality monitoring
Accounts Manager Management oversight and client-level accountability

This structure creates a multi-layered knowledge and continuity framework around every client.

III. Why This Model Matters

The client relationship belongs to the organisation, not to an individual employee.

6. Why This Matters to Our Clients

A common challenge in outsourced accounting is excessive dependency on one accountant who becomes the only person familiar with the client's books. We deliberately avoid this model.

Our objective is to ensure:

“The client relationship belongs to the organisation — not to an individual employee.”

Through our structured resource allocation and cross-training methodology, multiple team members understand the client's business and accounting workflow, while clearly defined responsibilities ensure accountability at each level.

Why This Matters to Our Clients
Knowledge Continuity and Business Continuity

7. Knowledge Continuity & Business Continuity

Our approach significantly reduces operational risk arising from:

  • Employee absence
  • Annual leave
  • Sick leave
  • Employee resignation
  • Unexpected workload increases
  • Seasonal business peaks
  • Urgent client requirements
  • Changes in accounting personnel
  • Business expansion
  • Additional transaction volumes

Because the backup resources are trained in advance, continuity does not begin when an emergency occurs.

Continuity is planned before it is needed.

8. Client-Specific Knowledge Development

At the beginning of an engagement, our team studies the client's:

Business → Processes → Documents → Software → Chart of Accounts → Workflow → Controls → Reporting Requirements

This knowledge is then progressively shared across the designated team members.

We maintain client-specific working instructions, SOPs, checklists and process knowledge so that the engagement can be managed consistently even when individual team members change.

Our Commitment

For more than two decades, we have built our client-management approach around a simple principle:

Reliable service delivery should never depend on a single person. It should be supported by a properly structured team, documented processes, trained backup resources and accountable management.

This approach enables us to manage multiple clients and projects systematically while maintaining continuity, transparency, accountability, scalability and quality.

Our objective is not merely to provide accounting manpower.

Our objective is to provide a dependable accounting operations team that understands the client's business, follows the client's processes, protects continuity and delivers consistently.

Our Commitment to Client Continuity

Work with a partner whose client-management structure is built for continuity, accountability and long-term reliability.
